Privacy Policy (Protection of Personal Information)

1. Personal Information
The Japan Auto Parts Industries Association (hereinafter referred to as “JAPIA”), in handling information on specific individuals obtained through its business activities (hereinafter referred to as “personal information”), shall comply with the laws and regulations, guidelines and “Basic Policy on the Proper Handling of Specified Personal Information, etc.” regarding the protection of personal information, in order to appropriately use and treatment of personal information.

2. Purpose of Use of Personal Information
a. Personal information obtained by JAPIA through applications for membership, registration as a member of committees and subcommittees, and notification of attendance at various meetings will be used for the following purposes inside the scope of the business stipulated in the Articles of JAPIA.
 (1) Sending newsletters, reports, and other information
 (2) To provide information on and manage general meetings, board meetings, committees, etc.
 (3) To provide information on and manage seminars, events, etc. hosted by JAPIA
 (4) Operation and management of the JAPIA’s website
 (5) Provision of various materials (newsletters, reports, etc.) issued by JAPIA
 (6) To communicate and send notices, questionnaires, etc. from government agencies and related organizations
 (7) Other operations necessary for the activities of JAPIA

b. Personal information obtained at the time of application for participation in seminars, lectures, and other events organized by JAPIA, as well as personal information registered in advance, will be used for the following purposes.
 (1) To confirm attendance, send invoices, etc., and manage the reception desk for the seminar, lecture, or other event.
 (2) To provide information on upcoming seminars, lectures, and other events hosted by JAPIA.

c. JAPIA's website uses cookies for the purpose of authenticating visitors, confirming login status, and improving visitor convenience.

3. Provision of Personal Information to Third Parties
a. JAPIA will not provide personal information collected by JAPIA to third parties, except in the following cases.
 (1) When the individuals concerned has given prior consent
 (2) When JAPIA deems it necessary in accordance with laws and regulations
 (3) When it is necessary for the protection of the life, body, or property of an individual and it is difficult to obtain the consent of the individual.
 (4) When disclosure is particularly necessary to improve safety or hygiene or to promote the sound growth of children, and when it is difficult to obtain the consent of the individual concerned
 (5) When it is necessary to cooperate with a national agency, a local government, or an individual or entity entrusted by them to execute affairs prescribed by laws and regulations, and obtaining your consent is likely to impede the execution of such affairs.

Even in cases where personal information is provided to third parties in accordance with the above, JAPIA may take necessary measures such as limiting the purpose of use.

b. Personal information obtained upon application for participation in committees, subcommittees, seminars and other events hosted by JAPIA will be used only for the purposes stated in b. of 2. Purposes of Use of Personal Information, and will not be provided to any third party except in the following cases.
 (1) Requests by factory tour sites
 (2) Requests from seminar speakers
 (3) Requests from venue management companies when holding meetings (limited to when supporting the meetings)
 (4) Information sharing within committees and subcommittees (limited to information on users who agree to the conditions of use for information sharing)

4. Control of Personal Information
JAPIA will strictly control personal information obtained within the scope of the above purposes of use, and will take security measures to prevent unauthorized access, loss, destruction, falsification, leakage, etc., and strive to ensure the safety of personal information management. In the event that the handling of personal information is outsourced to an external contractor, JAPIA will enter into a contract with the contractor to ensure that the contractor complies with security control measures, and JAPIA will appropriately supervise the handling of personal information.

5. Disclosure, Correction, Suspension of Use, etc. of Personal Information
If a person requests disclosure, correction, or discontinuance of use of his/her personal information, JAPIA will respond to such request within a reasonable time.

6. Personal Information Management System
JAPIA has established a personal information protection management system headed by the Executive Director to ensure thorough management of personal information.

7. Changes to this Privacy Policy
If this Privacy Policy is changed, JAPIA will post the revised Privacy Policy on this Web site and update the revision date. Your first use of this website after the publication of the revised Privacy Policy on this website shall be deemed to constitute your acceptance of the revised Privacy Policy.
